The Avenue Hotel Room Hire Terms and Conditions 

Who is the contract between?

The contact is between the client named on the booking form and the Avenue Hotel Ltd. The event refers to the booking of our facilities on a specific date. 

Confirmed bookings

To ensure your booking is secure the hotel requires £100 deposit/ Bond. (Please note this is non- refundable.)

The date will not be secured until £100 deposit/bond is made and you have agreed to our terms and conditions. You will then receive booking confirmation.  The deposit is paid back to the person after the event or deducted from their final balance. All prices on buffet options, welcome drinks and canapes are exclusive of VAT. 

Minimum numbers for food and allergies

There are minimum numbers on each food option on our buffet menu. Please see buffet menu for numbers. We do allow outside catering but we do not provide plates, cutlery, napkins ect. And the guest is responsible for making sure that the room is cleared of rubbish at the end of the night. We take a £50 bond which is returned after the event. 

It is the responsibility of the function organiser or person making the booking for the function to inform us (The Avenue Hotel) of any alleges or dietary needs that are required. The Avenue Hotel can’t be held responsible if they have not been informed. The children’s buffet menu is up to the age of 12 years old. 

Outside entertainment companies 

When using outside entertainment companies i.e., bouncy castles, face painting, candy floss machines, DJ’s and so on The Avenue Hotel accepts no responsibility for these companies and any issues needs to be taken up with the company in question.

Challenge 25 

We operate a challenge 25 policy in conjunction with Ribble Valley Council.

If photo ID is not presented to our bar staff when asked the person in question will NOT get served alcohol.  

Events for 18s & 21’s

For us to host parties for 18th & 21’s there must be adults present. We ask for 1 adult to every 5 guests for the function. A £200.00 bond is required and this is returned after the function. The bond is there to safe guard the hotel against any damage that may be caused, such as damage to furniture, damage to toilets, vomit, smashed glasses.

 Any parties for children under the age of 16 years old will not include the bar or staffing. It will be the parents’ responsibility to manage the event. If you wish for the bar to be open, please inform us when booking your function.

Room layout

We advise, if possible, to come and view the room one week before your event to see the room and discuss the layout.

Confetti cannons or confetti inside balloons are not allowed.

Outside Catering

We don’t allow outside catering with the exception of celebration cakes.

Consuming your own Alcohol is also forbidden on our premises. Anyone caught consuming their own alcohol will be asked to leave the premises. 

Entertainment services 

We offer our in-house DJ entertainment services; setup in the function room from 7.30pm -12am. If you wish to book, please let us know at the time of your booking so we can ensure he is free on the date of your event.

DJ £300.00.

Social Media

For marketing purposes, we take photos of the function on the night. If you would like us not to do this, please let us know so that we don’t post on our social media channels.

Balloons Neon Lights Sequin Wall & Light up Numbers 

Please find details of our suppliers for room decorations below. We recommend that you use these suppliers as they know the room from previous functions, they have done with us over the last 18 months. Please mention The Avenue Hotel when speaking to them.

Timing arrangements

From the day of your booking, you can access the function room from 12 Noon (subject to change).

Last orders at the bar will be called at 11.45pm. The function room bar will be closed at 12am 

Final detailed appointment 

Three weeks before your event we will contact you regarding final numbers, food options, dietary requirements, room layout and entertainment.  

Final payment balance

Once your plans have been finalised, you will receive an invoice for your final balance. Please pay this Three weeks before your event takes place. – Thank you. 

Price Increases

From time to time, we will have to increase our prices, but if this is the case, we will give you written/verbal confirmation via email or telephone call. This tends to happen when functions are booked 6 months in advance.
